This guide explains how to use the 'Agendas and minutes' website. Use this website to find agendas and minutes for Governing Body, local board and committee meetings and workshops held after November 2025.
How to use the 'Agendas and minutes' website
Meetings and workshops
The 'Current meetings' tab shows all current, upcoming or recent meetings and workshops.
Meetings and workshops are listed by date, starting with the earliest. After a meeting or workshop is held, it moves to the 'Previous meetings' tab.
Find a meeting or workshop
1. Click on the drop-down box in 'Filter Meeting Types'. This will list meeting and workshop options for each local board, the Governing Body and committees.
Note: Local board meetings are listed with just the local board's name, for example 'Albert-Eden Local Board'.
Local board workshops are listed as, for example, 'Albert-Eden Local Board workshop'.
2. Select the meeting you are interested in from the drop-down list. This will show all current and recent meetings or workshops for the option you have chosen.
Search results should show all meeting and workshop dates, times and venues (if they are open to the public).
If no meetings or workshops show up in your search it means there are no current or upcoming meetings for the option you selected.
If you are looking for a meeting or workshop that is more than a month away, it could be under the ‘Future meetings’ tab.
You can select more than one type to search for. To clear the search, click the ‘x’ on the right side.
Find meeting or workshop documents
When you find the meeting or workshop you are interested in, you can access related documents like agendas and minutes.
'Open meeting' button
You can click the 'open meeting' button on the far right of the page to access the documents.
If there is no 'open meeting' button it means the documents are not yet available.
Agenda
The 'open meeting' button opens the agenda for the meeting or workshop you have selected.
Select an agenda item from the list on the left side of the page to go straight to that section.
Minutes
To access the minutes taken at the meeting or workshop:
- Select 'Files'.
- Select 'Minutes'.
Bookmarks
Click the 'Bookmarks' icon to display the minutes in sections.
Select the section you want to access and it will display on the right of the screen.
Files
- Select 'Files' to access meeting or workshop reports and documents.
- Select the document you want to read from the list on the left of the screen.
- The document will display in full on the right of the screen.
'Packet'
The 'packet' includes all meeting and workshop reports and documents in a single PDF document.
You can save the PDF to your mobile phone, tablet, laptop or computer. Open it with Adobe Reader (not your browser) and select links to navigate through it.
You can also download and print it.
To access the packet:
1. Select 'Files'.
2. Select 'Packet'.
This shows a list of all documents included in the PDF.
3. Select the document you want to read from the list.
Search the documents
Find a specific document
- Select 'Files'.
- Use the 'Control and F' function. In the pop-up box, enter the name of, or words relating to, the document you are looking for.
- All documents with that title or words in the title will appear.
Search within a document
- Click on the magnifying glass.
- Type the word you are looking for. The display bar will tell you how many times that word appears.
- Use the arrows to find each mention of that word.
Items
You can also search for meeting and workshop documents under the 'Items' tab.
- Select 'Items'.
- Click on the icon at the end of the search bar.
- Click on the drop-down arrow in the 'Filter meeting types' box.
- Select the meeting or workshop type you are interested in.
Documents for this meeting or workshop will display if they are available.
Click the 'Open meeting' button on the document you want to access.
You can also use the 'Start date' and 'End date' boxes to narrow your document search.
If you cannot find a document
Email the records team at records@aucklandcouncil.govt.nz if you cannot find the document you need.
Previous meetings
The 'Previous Meetings' tab displays all past meetings.
After a meeting ends, it moves from 'Upcoming Meetings' to 'Previous Meetings'.
Meetings are added to this section as they happen.
If you search all past meetings, it will display the most recent meeting first.
- Select 'Filter Meeting Types' to find past meeting types. Choose a meeting to find the documents, recordings and livestream links for that meeting.
- Enter the start date and end date to narrow your search.
- When you select a filter, the display will update to show the documents for those dates.
